Since September 2007 all Private Career Colleges in the Province of Ontario are required to have an agreement in place with a pre-approved vendor for the maintenance and issuance of student transcripts.

The Superintendent of Private Career Colleges has approved Southport Data Systems to store student transcripts in an electronic format and issue them to qualified individuals, (i.e. students or past-students of Private Career Colleges).

Online Access To Data Transcripts

SDS offers years of experience in converting paper documents to electronic images. Our on-line web access solution allows colleges to access the images of transcripts from any web-enabled computer. Our Markham, Ontario based electronic storage is located in a highly secure environment. In particular our web access file retrieval service has the following features.

• Secure log on with levels of access (read only, read and note, read note and "print/e-mail")
• Search and Retrieve by combinations of the index fields with Boolean logic operators
• 7 x 24 access
• User administration rights within the server
• Daily additions and deletions of files, as required
• Standard reports re system access and user activity
• Daily backup
• Secure MTI T1 Internet access with a Cisco PIX Firewall
• Continuous Proactive Internet Monitoring, Management, Troubleshooting, Support and Administration
• Full physical security, including UPS and fire suppression
• Web Viewer User Guide for each user

We will also print and mail certified copies of student transcripts, upon request.
